This document is designed to provide the end user with details on what reports need to be pulled and when.

What criteria should be used to pull the reports?

This is up to your management team on how they want to see the data in Efficio. Questions for the Sales Management team if you do not have this information already:

  • Calendar vs Broadcast
  • Net vs Gross

What reports are required prior to launch?

This is a high level checklist of what reports are required. For details on how to pull the report, see “How do I pull the reports?“ section below.

Billing History Reports

  • The email with this document attached should have outlined how far back this history should be pulled.
  • Pull one file for each year and include All Stations if possible.

Aging Report
Pull one report is for ALL stations and for ALLRevenue Categories. 

Forecast Report
This report should include the currentmonth plus the next 11 months (example:From June 2013 TO May 2014) and is pulled for ALLStations and for ALL Revenue Categories.

Advertiser Report
This report should include all advertisers with addresses and contacts. 

Agency Report
This report should include all agencies withaddresses and contacts. 

What reports are required AFTER launch?

After the first training, the following reports will be required.Instead of emailing these reports, you will be able to upload them directly. See the issue below on how to upload the reports.

Monthly

  • Single Month Billing History Report – This is the same billing history report used to get started, however it should only be pulled for the month that just closed out. NOTE: Please make sure to confirm from someone in your Finance Department that they have “closed the books” for the previous month BEFORE UPLOADING the Billing History file. 
  • Typically this is pulled around the 10th - 15th of the month.This Report should include ALL stations and ALL Revenue Categories. 

Daily

  • Aging Report – This report is for ALL stations.
  • Forecast Report – This report should include the current month plus the next 11 months (example:From June 2013 TO May 2014) and is pulled forALL Stations.

How do I pull the reports?

Several steps required for our team to launch your market. Please run the following reports and open a conversation in the bottom right of any page of Efficio. If you have a lot of history and stations, you may want to run the report one year at a time so they can be easily sent. 

Billing History Report
This report will be usedto get all the billing history available in MARKETRON.

  • History is pulled as Scheduled-Scheduledreport which includes everything that was actually billed and anythingthat ran during that period but has not been invoiced.
  • Reports Module>Scheduled,Scheduled.
  • Chose the month that wasjust closed.
  • Include All Stations,Bumped, Unresolved Missed, and Pending.
  • Include AllRevenue Categories.
  • Chose all dayparts for a24hour clock.

Here are the columns and the exact order they need to appear

  • This report should be exportedas an Excel or CSV or DAT file.
  • To export:File>Export To Text.
  • Chose appropriate file typeand save on your local machine.
  • To save report andfilters:File>Save As.Name report and Save Filter Settings.

Forecast Report

This report pulls what is booked for 12months out, which includes current month plus 11 months into the future (example: From June 2013 TOMay 2014). The current Date Range can be viewed in Efficio: ADMIN > Billing Upload page. The Date Range is in the hi-lighted section at the top of the page.

  • Open the Reports Module in Marketron. Pull this information as a Contracted>Contracted report in the Management Reports section of the Reports Module.
  • Include All Stations
  • Choose the current month plus the next 11 months into the future.

Here are the columns and the exact order they need to appear

This report should be exported as an Excel or CSV or DAT file. 

  • To export:Within the report, go to File>ExportTo Text> chose appropriate file type and save on local drive. 
  • To save report and filters: File>Save As. Name report and Save Filter Settings.

Aging Report

This will be used to show the reps and management what is on the books.

  • Open the A/R Module.Go to Report>Aging Report.Chose all stations, All Dates, Aged As the default date.
  • Include Zero BalanceAccounts, Credit Balances and Inactive accounts for a true aging report. 
  • Include All Revenue Categories.

Columns within the report(to chose columns, right-click, chose columns)

  • Agency
  • Advertiser (right-click within the Advertiser column to turn on Subtotals for this field and the Agency column)
  • Salesperson

  • Transaction Number
  • Transaction Date

To save the report:Print Preview>Export>Chose your local machine.Chose file type of. csv, name the document, and Save.

To save the settings as aSaved Report:File>Save ReportAs> Name of report.To accessyour saved reports, click on the Open Custom Reports button, in the lowerleft-hand corner on the General Tab of the Aging Report.

Advertiser Addresses

This is used to import advertiser addresses and contacts. Go to the Reports Module>Traffic Reports> Name> Advertiser. This is a standard advertiser report of addresses.

Agency Addresses
This is used to import agency addresses and contacts. Go to the Reports Module>Traffic Reports> Name> AgencyThis is a standard agency report of addresses.

How do I upload Reports?

  • Using your password provided, go to www.myefficio.com and login.
  • Click the Admin tab, then click the Bill Upload link in the secondary Navigation.
  • Choose current traffic systemas the Traffic System
  • Choose the Data Type you areuploading: Forecast, Accounts Receivable, etc.
  • Choose the Station you areuploading, or All StationsChoose the date the file was pulled 
  • If uploading an Inventory file, choose the correct inventory category from the drop down.
  • Click Browse and select the folder that has the report you created.
  • Click Upload Billing File.
  • You will get a confirmation if the upload is successful.
