This Article details what initial reports are required for your markets launch onto Efficio's CRM system as well as what reports are required daily and monthly after your launch is completed.

Report Criteria

Please refer to the email for instructions on the specific criteria on how your management team wants these reports pulled in regards to below:

  1. Calendar vs Broadcast
  2. Net vs Gross

Billing History Report 

This report is used to obtain your markets historical billing from OSI. This report should be pulled with by individual station and should include ony one year of data per file.  To run the reports:

  • Click on the reports icon in OSI
  • Select system reports
  • Double click Contract Sales Summary Report
  • When prompted to save this report, click YES 
  • Save the report as Efficio Billing Report

Use the following report parameters

  • Start Date - select the first day of the month being pulled in this report 
  • End Date - choose the last day of the month being pulled in this report
  • Account Type 2 - include ALL revenue types
  • Report By - select calendar or broadcast as defined by your management team
  • Revenue Option - select gross or net as defined by your management team
  • Level 1 Grouping - Salesperson
  • Level 2 Grouping - Agency
  • Level 3 Grouping - Advertiser
  • Level 4 Grouping - Account Type 2
  • Level 5 Grouping - Contract Number

Running The Report

  • Select Run Report
  • Choose excel 8.0 format
  • Make sure Create page breaks for each page is not checked
  • Select OK
  • Once the report displays, click the Export icon above the Preview Tab on the far left
  • Save the report to a location on your desktop that you can access.  

Sales Forecast Report

This report is used to obtain your forecasted/future billing from OSI.  This report should be pulled by individual station and should include one year of data including current month + the next 11 months.

  • Click on the reports icon in OS
  • Select USER reports
  • Select "Efficio Billing Report"
  • Change the start and end date
          * Start Date = choose the first date of the current month
          * End Date = choose the last day of the 11th month in the future
  • Click RUN report
  • Choose Excel 8.0 format
  • Make sure "Create page breaks for each page" is NOT checked
  • Click OK
  • After the report displays, click the EXPORT icon above the Preview tab on far left
  • Save the report to a location on your desktop that you can access

Advertiser Report

this report is used to extract Product Categories from OSI.

  • Click on the reports icon in OSI
  • Select System Reports
  • Double click "Contract Sales Summary Report"
  • When prompted to save this report, click Yes and save the report as "Efficio Advertiser Report"
          *
    Report Parameters:
          * Start Date - choose the first day of the month you are starting with
          * End Date - choose the last day of the month you want to end with
          * Account Type 2 - include all revenue types
          * Report By - select broadcast or calendar as defined by management
          * Revenue Option - select gross or net as defined by management
          * Level 1 Grouping - Product
          * Level 2 Grouping - Advertiser
  • Click RUN report
  • Choose Excel 8.0 format
  • Make sure "Create page breaks for each page" is NOT checked
  • After the report displays, click the Export icon above the Preview tab on far left
  • Save the report to a location on your desktop you can access

4. Aging Report - this report is used to obtain your accounts receivable information from OSI.

  • Click on the Reports icon in OSI
  • Select System reports
  • Select the Aging-Summary Form
  • Leave everything defaulted EXCEPT:
          * Account Type - include all revenue types
          * Aging Type - select the calendar type your management team has defined
          * Export Options - do not create and email Excel spreadsheet
          * Level 1 Grouping - Agency
          * Level 2 Grouping - Advertiser
          * Level 3 Grouping - Station
          * Level 4 Grouping - Product
          * Custom Column 1 - Date Entered
          * Custom Colum 2 - Salesperson
          *  Sort Order 1 - Invoice Number
          * Sort Order 2 - Date Entered
          * Sort Order 3 - None
  • Click RUN report
  • Choose Excel 8.0 format (not the extended version)
  • Make sure "Create page breaks for each page" is NOT checked
  • After the report displays, click the Export icon above the Preview tab on far left
  • Save the report to a location on your desktop that you can access
