This document is designed to provide the end user with details on what reports need to be pulled and when.

What criteria should be used to pull the reports?

This is up to your management team on how they want to see the data in Efficio.

Questions for the Sales Management team if you do not have this information already:

1. Calendar vs Broadcast
2. Net vs Gross

What reports are required prior to launch?

This is a high level checklist of what reports are required. For details on how to pull the report, see “How do I pull the reports?“ section below.

1. Billing History Reports

a. The email with this document attached should have outlined how far back this history should be pulled.
b. Pull one file for each year and include All Stations if possible.

2. Aging Report

 Pull one report is for ALL stations.

3. Forecast Report 

 This report should include the current month plus the next 11 months and is pulled for ALL Stations.

What reports are required after launch?

After the first training, the following reports will be required.  Instead of emailing these reports, you will be able to upload them directly. See the issue below on how to upload the reports.

1. Monthly

Single Month Billing History Report
This is the same billing history report used to get started, however it should only be pulled for the month that just closed out. Typically this is pulled around the 7th of the month and should include ALL stations.

2. Daily

a. Aging Report
 This report is for ALL stations.

b. Forecast Report
 This report should include the current month plus the next 11 months and is pulled for ALL Stations.

How do I pull the reports?

Several steps required for our team to launch your market. Please run the following reports and email the Excel files to hmccormick@efficiosolutions.com.  If you have a lot of history and stations, you may want to run the report one year at a time so they can be easily emailed. 

1. Billing History Report

This report will be used to get all the billing history available in Radio Traffic.  

  1. Reports Module in Radio Traffic 
  2. Category: TRANSACTIONS, choose the INVOICE DETAIL report 
  3. Date Range: Previous Month (i.e.: 11.1.12) to end of the month (i.e.: 11.30.12) 
  4.  On the GENERAL Tab, in the top left column/row, Right click in the report and scroll to COLUMN CHOOSER 
  5.  At the very top of the report in a darker blue above the column headers you may see a header labeled CUSTOMER or DATE – drag this header down to the other headers so that you only have one row of column headers.  There should NOT be anything on the top row. 
  6.  You will need to remove (by dragging the column header off), add by dragging a column header in the pop up box in the bottom right of the screen, and move the column headers by dragging them to the correct position so that you have the following columns in the EXACT ORDER:
    i. Station
    ii. Sales Person
    iii. Customer
    iv. Agency
    v. Order #
    vi. Invoice #
    vii. Revenue Source
    viii. Revenue Type
    ix. Primary Conflict
    x. Gross or Net
    xi. End Date 
  7.  Revenue tab – INCLUDE all revenue 
  8.  Save this report by going to File: Save As and save the file you just created
  9.   To EXPORT: got to FILE (top left) and click on EXPORT – export this to your desktop (we recommend you create an Efficio)
  10. SAVE the file to your desktop – we recommend you save the file as the report type with current date (i.e.: Efficio Forecast 11.5.12)

2. Forecast Report

 This report pulls what is booked for 12 months out.

  1. Open the Reports Module in Radio Traffic Premier. 
  2. Select Category Sales: Goal Report in Radio Traffic Premier (You may need to use the “Include Beta Reports” option in the view menu to be able to see it. 
  3.  Double click the GOAL REPORT to create a new report 
  4. On the GENERAL tab, choose the PERIOD drop down and select the 1st day of the current month (ie: if it’s October 10th, select 10/1/current year).  
  5. On the STATIONS tab (click through the tabs next to GENERAL until you come to STATIONS) and select only the stations for your market. 
  6. Place your cursor on the BLUE bar in the report and right click.  Scroll down in the pop up box and select COLUMN CHOOSER. 
  7. At the very top of the report in a darker blue above the column headers you may see a header labeled CUSTOMER, DATE, OWNER, etc – drag this header down to the other headers (or drag it down to the Column Choose box in the bottom right and drop it in) so that you only have one row of column headers.  There should NOT be anything on the top row. 
  8. You will need to remove (by dragging the column header off), add by dragging a column header in the pop up box in the bottom right of the screen, and move the column headers by dragging them to the correct position so that you have the following columns in the EXACT ORDER:
    i. Station
    ii. Sales Person
    iii. Customer
    iv. Contract #
    v. Revenue Source
    vi. Revenue Type
    vii. Primary Conflict
    viii. Current month (GE$ columns – i.e.: GE$ 10/16) + next 11 months (GE$ columns – i.e.: GE$ 11/16, GE$ 12/16, etc.)  NOTE* each month, you will need to advance one month into the future. 
  9. Billing: Broadcast or Calendar (please refer to body of the email to determine how your market should pull their reports)
  10.  Choose the REVENUE tab and INCLUDE all revenue categories
  11.  To SAVE your report, click on File SAVE AS and save the report you just created  To EXPORT: got to FILE (top left) and click on EXPORT – export this to your desktop (we recommend you create an Efficio) 
  12. SAVE the file to your desktop – we recommend you save the file as the report type with current date (i.e.: Efficio Forecast 10.06.16)

3. Aging Report 

This will be used to show the reps and management what is on the books.

  1. Open the Reports Module in Radio Traffic 
  2. Choose Accounts Receivable Aging from the A/R Category: 


3.   On the General Tab of the settings on the left hand side, set the date to “Today”.    Check the other tabs (Revenue, Salesperson, Customers, and Station) make sure that all options are selected.

4. Right-click on one of the column headings in the report and select the “Column Chooser” option. 

5. Set the report columns by dragging column headings left, right or out of the report, and by adding columns from the Column Chooser.  Make sure that the following columns are in the report:
i. Station
ii. Sales Person
iii. Customer
iv. Detail
v. Applied
vi. Revenue Source
vii. Revenue Type
viii. Current
ix. 31-60
x. 61-91
xi. 91-120
xii. 120+
xiii. Total

6. To Save the report, click on File: Save As and save the report you just created as something like “Efficio Aging report”.
7. To EXPORT the report go to File, EXPORT and export to your desktop (we recommend you create an aging folder on your desktop)
8.  SAVE the report to your desktop – we recommend naming the file with the file type and current date (i.e.: Efficio Aging 11.15.12)


How do I upload Reports?

Using your login provided, click the  Upload tab in the left navigation bar.

Here’s a screenshot:

  1. Choose current traffic system as the Traffic System
  2.  Choose the Data Type you are uploading: Forecast, Accounts Receivable, etc.
  3. Choose the Station you are uploading, or All Stations
  4.  Choose the date the file was pulled
  5.  If uploading an Inventory file, choose the correct inventory category from the drop down.
  6.  Click Browse and select the folder that has the report you created.
  7.  Click Upload Billing File.
  8.  You will get a confirmation if the upload is successful.
