What criteria should be used to pull the reports?
This is up to your management team on how they want to see the data in Efficio.

You should have received an email answering the following settings:

1. Calendar vs Broadcast
2. Net vs Gross

What reports are needed to get started?

Several steps are required for our team to launch your market. Please run the following reports and email the Excel files to support@efficiosolutions.com.  

1. BILLING HISTORY REPORT 

The “Revenue Report” will be used to pull the billing history available in WIDE ORBIT.  Please run one year at a time for all Station/Properties.  
NOTE: Please make sure to confirm from someone in your Finance Department that they have “closed the books” for the previous month BEFORE UPLOADING the Billing History file.

A)Calendar Options:
i. Choose Calendar based upon management team’s request (Calendar / Broadcast).
ii. If you need to cross over years, you should use the “Restrict Dates” in the Calendar Options section making sure to choose the first and last day of the period you wish to pull.
iii. If you do NOT need to cross over years, leave Restrict Dates blank. 

B) Display Options
i. Choose up to one year, or number of months, as needed.
ii. We recommend one file per year.
iii. If you need to cross over years, you should use the “Restrict Dates” in the Calendar Options section making sure to choose the first and last day of the period you wish to pull.

C) Revenue Options
i. History is pulled as “As Placed” so it includes everything that was actually billed. If you can’t include all fields, pull AS BOOKED.

D) Include All Station/Properties & Channels, unless you have specific instructions to pull by Station/Properties.

E.)  Include All Account Executives
F)   Include All Revenue Categories.
G)   Fields To Include:
i. Advertisers
ii. AE Full Name
iii. Agencies
iv. Invoice #
v. Product Codes
vi. Rev Code 1
vii. Rev Code 2
viii. Rev Code 3
ix. Sales Regions
x. Station/Properties

IF YOU ARE UNABLE TO PULL ALL THESE FIELDS, YOU WILL NEED TO USE THE “As Booked” REPORT OPTION.

H)  Save this report setup as Efficio Billing History.
I)   Run this report and save it as an Excel document. If the file does not upload        because it’s too large, save file as CSV – either when exporting or open file and save as CSV and upload that file.
J)   After launch, run this report once a month for the previous month after the month has been “closed” by your business office.

2. FORECAST REPORT 

This is the “Revenue Report” and should be pulled for 12 months out (current month plus 11 months forward).  

A) Calendar Options:
i. Choose your “Calendar” based upon your Market’s setup in Efficio (Calendar / Broadcast)
ii. Using the “Restricted Dates” option, choose first day of the current month and the last day of 12th month out.  For example: if it’s March 2010 and you are using calendar billing, From date would be 3/1/10 and To date would be 2/28/11 since we want to include March 2010-Feb 2011.

B) Display Options:
i. Include Gross Column
ii. Include Net Column
iii. You shouldn’t have to select any dates in this section since the dates were chosen above in “Calendar Options”

C) Revenue Options:
i. Choose ‘As Booked’

D) Station/Properties/Channels:
i. Include All Station/Properties & Channels unless you have specific instructions to pull by Station/Properties.

E)  All Account Executives

F) Include All Revenue Categories.

G) In “Fields To Include” section, choose the following columns:
i. Advertisers
ii. AE Full Name
iii. Agencies
iv. Order #
v. Product Codes
vi. Rev Code 1
vii. Rev Code 2
viii. Rev Code 3
ix. Sales Regions
x. Station/Properties

H) Save this report setup as Efficio Forecast.
I)  Run this report
J) Right click and select Save to File and save it as an EXCEL document

3. AGING REPORT 

This will be used to show the reps and management what is on the books.

A) Start with the standard Aging Report – Aging Manager.
B) Include All Revenue Categories.
C) Upload Cash & Trade
D) Right Click and Customize Columns
E) Here are the fields that should display:
i. Advertiser
ii. AE Name
iii. Agency
iv. Billing Month
v. Current
vi. Date
vii. Order #
viii. Station/Properties
ix. Total Due
x. 30 Days
xi. 60 Days
xii. 90 Days
xiii. 120+ Days
F) Save this report setup as Efficio Aging. Right-click in the body of the report to save.
G) Save grid style as Efficio aging.
H) Run this report and save it as an Excel document

4. ADVERTISER ADDRESSES 

This is used to import advertiser addresses and contacts.

A) You should be able to run a standard advertiser report that includes all the address and contact information

B) Here are the required fields:
i. Advertiser
ii. Address
iii. City
iv. State
v. Postal Code/Zip

C) Here are additional fields if available:
i. Contact Name
ii. Email
iii. Fax
iv. Industry Code/Product Category
v. Phone

5. AGENCY ADDRESSES 

This is used to import agency addresses and contacts.

A) You should be able to run a standard agency report that includes all the address and contact information
B) Here are the required fields:
i. Agency
ii. Address
iii. City
iv. State
v. Postal Code/Zip

C) Here are additional fields if available:
i. Contact Name
ii. Phone
iii. Fax

6. ADVERTISER CONTACTS 

This is used to import advertiser contacts.

A) You should be able to run a CONTACT SEARCH report
B)  Here are the required fields:
i. Advertiser
ii. Last Name
iii. First Name
iv. Email Address
v. Phone number
vi. Fax

7. AGENCY CONTACTS 

This  is used to import agency contacts.

A) You should be able to run a CONTACT SEARCH report
B) Here are the required fields:
i. Agency
ii. Last Name
iii. First Name
iv. Email Address
v. Phone number
vi. Fax

What reports are required after launch?

After the first training, the following reports will be required.  Instead of emailing these reports, you will be able to upload them directly. See the issue below on how to upload the reports.

1. Monthly
Single Month Billing History Report
This is the same billing history report used to get started, however it should only be pulled for the month that just closed out. Please confirm with someone in the Finance Department that they have “closed the books” for the previous month before uploading the Billing History file.  Typically this is pulled around the 7th of the month.

2. Daily
a. Aging Report
 This report is for All Station/Properties and includes ALL Revenue Categories.

b. Forecast Report
 This report should include the current month plus the next 11 months and is pulled for All Station/Properties.

How do I upload Reports?

Log in to my.efficiosolutions.com and click the Uploads tab.

Here is a screenshot:

a. Select Source: choose current traffic system.
b. Select Financial Data Type: choose Sales Forecast, Accounts Receivable, etc.
c. Select Market: your market should come up as default.
d. Select Station/Properties: Choose the Station/Properties you are uploading, or All Station/Properties.
e. Choose the date the file was pulled.
f. If uploading an Inventory file, choose the correct inventory category from the drop down.
g. Click Browse and select the report file you have created.
h. Click Upload.
i. You will get a confirmation if the upload is successful.
